Van e-mail archivering naar ‘improved customer service’

'Store and retrieve requirements for e-mail are yesterday's news. New needs are spurring adoption and new roles for the technology', zo stelt Sara Radicati, president en Chief Executive Officer van de Radicati Group, een analistengroep. Compliance eist steeds beter documentatie van zakelijke transacties en dit heeft tot gevolg dat de technologiemarkt voor de archivering van e-mail van 1,7 miljard dollar nu in 2012 waarschijnlijk verdrie- of verviervoudigd is. De technologie voor e-mail archivering 'is also undergoing a sizable shift away from its roots', zo stelt althans een nieuw rapport van Radicati. 'Far from simply storing old e-mails, archiving products are morphing into multifaceted solutions, helping enterprises develop knowledge databases and improve customer service'. Bedrijven proberen oplossingen te vinden voor de enorme aanwas van informatie. Een recente studie van de Enterprise Strategy Group ontdekte dat de gearchiveerde databasegegevens van alle bedrijven samen in 2012 waarschijnlijk meer dan 30 petabytes (meer dan 30 miljoen gigabytes) bedragen. Dat sluit aan met het IDC onderzoek, waarover we hier eerder berichten. Deze groei in opslag wordt voor een deel veroorzaakt door het feit dat de eisen voor het bewaren van zakelijke informatie steeds meer communicatiekanalen en -objecten bestrijken, van de simpele images, tot de e-business data en instant messaging.


'Specialized solutions like e-discovery tools are also gaining momentum', zo stelt het rapport. 'There are also data-loss prevention tools that can thwart sharing of noncompliant messaging'. Niet verrasend dus dat deze groeiende behoefte de aandacht krijgt van leveranciers en (steeds meer) 'start-ups'. 'Customers have more choices and we expect to see more storage vendors come into the market', zo stelt Sara Radicati. 'At the moment, the space is dominated by large players like Symantec, HP and Zantaz, which search vendor Autonomy bought last year'. IDC identificeerde Zantaz 'as the global market leader in content archiving and electronic discovery solutions', hoewel Symantec en HP een bijna even groot percentage van die markt bestrijken. 'Exactly how businesses deploy their archiving solutions may be in for a change as well', zo stelt Radicati. 'More than 76 percent of all archiving offerings are now on-premises solutions, but hosted solutions are gaining favor beyond their core user base of small to mid-sized organizations. Reluctance for a hosted solution has typically been due to concerns about data being offsite. But now, larger companies are looking more favorably on hosting, thanks to its often-lower costs and ease when it comes to deployment'. En, zo vervolgt Radicati, 'There are no real downfalls. The main concern is security and privacy as well as a sort of loss of control. Much of this is paranoia rather than based on facts. Other issues have been that hosted services were not always up to par with on-premises solutions. This is changing now'. Ondanks het feit dat er steeds meer leveranciers mogelijk zijn met een keur aan producten, het vinden van de juiste tool voor een specifieke organisatie kan nog een hele zoektocht zijn. 'There are many different business needs out there and the chosen solution must map to the company's business problems', zo zegt Radicati. 'It is not merely an IT issue'. En zo voegt ze er als een soort tenzijde aan vast: 'And don't be surprised to find that most solutions are all lacking in one specific area — search capabilities. That's one aspect every vendor could improve on. It's all about search, search, search. The key issue is still how to retrieve all conversations effectively and quickly. That is still where we expect to see the most innovation in the future due to the need to sort through so much data, including images, voice and video, at some point not too far away'.
